Job Description:

The mission of the Office of Facilities Planning and Management (OFPM) in the School of Medicine is to plan for and manage the facilities needs of the School of Medicine community in the areas of facilities operations, capital planning and budgeting, projects from programming through occupancy, space inventory, and facility assets. In the pursuit of this mission, the office has an immediate opening for multiple Building Ambassador positions.Reporting to the Stanford Research Park Program Coordinator, the Building Ambassador will serve as the primary point of contact for building occupants. This role will greet visitors, manage visitor check-in and check-out process, and route them to the appropriate building occupant and/or location. Additionally, the Building Ambassador will answer phone calls and emails directed to the main building contact number/email, respond to general building queries and manage deliveries and pick-up of incoming and outgoing building mail and packages. This position requires a daily onsite presence and will be based in Stanford Research Park. This is 100% onsite position.Stanford Research Park is located on the San Francisco Peninsula between El Camino Real and the foothills of the Santa Cruz Mountains, south of Stanford University's main campus and west of Palo Alto. It encompasses roughly 1.7 square miles. The School of Medicine continues to expand its presence in SRP, such that by 2025 approximately a third of our research space will be in the Research Park. A nexus of innovation, SRP is where people come together to collaborate, discover, and break new ground.Duties include:

  • Greet visitors and route them to appropriate individuals, answer phones, and serve as a resource on unit procedures and general inquiries.
  • Disseminate routine communications such as memos, notices, emails, and letters.
  • Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of office supplies.
  • Manage deliveries and mail room space for assigned building.
  • Administer calendars for building shared conference rooms and common areas.DESIRED QUALIFICATIONS:
    • 2 years of relevant experience in a professional environment.
    • Prior experience in customer service or hospitality a plus.
    • Proficient in Microsoft Office.
    • Comfortable multi-tasking and prioritizing tasks without guidance.
    • Excellent interpersonal skills.
    • Punctual with strong attendance history.EDUCATION & EXPERIENCE (REQUIRED):High school diploma or equivalent.KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
      • Basic computer skills and demonstrated experience with office software and email applications.
      • Ability to follow through and complete assigned tasks.
      • Strong organizational skills and attention to detail.
      • Strong verbal and written communication skills.
      • Excellent customer service and interpersonal skills.PHYSICAL REQUIREMENTS:
        • Constantly perform desk-based computer tasks.
        • Frequently sitting.
        • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
